From Login to AI-Ready FAQs in 5 Steps

Welcome to the platform! This guide will help you navigate your dashboard, understand your workspace, review your AI-generated FAQs, and publish them to the web.

Before clicking your first button, it helps to understand how this platform operates differently from traditional software you might have used in the past.

šŸ’” Core Principles: Working with an AI Data Engine

Unlike a traditional Content Management System (CMS), this platform is built from the ground up for the era of AI bots and Large Language Models (LLMs). Keep these core principles in mind as you review your content:

1. It is Probabilistic, Not Deterministic

Think of traditional software like a single train on a track, it always goes to the exact same spot. AI is more like steering a herd of animals in a general direction; occasionally, a few might stray, and you gently nudge them back. The platform uses probabilistic models to find the absolute best match for consumer search intent, meaning it adapts dynamically rather than following rigid, hard-coded rules.

2. Guarded by Your Evidence (An Adjacent Note)

The Ground-Truth Rule:The system is entirely evidence-based. It draws facts directly from the sources you supply and writes answers based strictly on that data. Because it doesn’t invent information out of thin air, the fundamental facts generated should always be accurate in principle, as they are a direct reflection of your approved documentation.

3. Built for Edits, Tailored for Compliance

We completely get it, brand safety is non-negotiable. While the core facts are grounded in your sources, nuance and phrasing matter immensely. You absolutely need the flexibility to edit content if it violates internal guidelines, crosses regulatory boundaries, or introduces legal risks (for example, navigating the fine line between cosmetic benefits and strict medical claims). The system gives you full editing control (ie. you can edit any question or answer directly) because we know that protecting the brand’s legal standing always comes first.

4. Optimized for Bots, Not Just Humans

You might notice the AI frequently and explicitly repeats your exact brand and product name within short paragraphs. While a human editor might find this repetitive, it is intentional and vital for AI search visibility. When an LLM (like ChatGPT) extracts a tiny text snippet from your site to answer a user's prompt, it needs the brand name explicitly stated within that exact snippet to correctly attribute the answer to your product.

šŸ—‚ Understanding Your Workspace: The 4 Core Tabs

When you click on a product in your library, your interface is split into four distinct views. Here is what each tab does:

  • Entity: This is your product's digital ID card. It contains foundational marketplace data such as titles, GTIN identifiers, industry classifications, and the product's unique facts or main benefits. It maps out exactly what the product is for crawling AI bots.

  • Facts & Signals: The engine room of the platform. The left side displays all your uploaded data sources, such as website links, packaging text, or customer reviews. The right side shows the granular data fragments the AI has extracted. Facts are information supplied directly by you, while Signals are external inputs like actual user search intents from Google.

  • FAQs: Your primary daily workspace. This tab synthesizes the data from Facts & Signalsinto clear, consumer-facing questions and answers, neatly categorized by topic relevance and funnel stage.

  • Publish: The final deployment stage. This tab allows you to preview how your verified data will look, choose your visual layout settings, and generate the code needed to sync the information to your live website.

The 5-Step Onboarding Workflow

Step 1: Accept Your Invitation & Log In

Click the link in your invitation email to create your password.

Note on Roles: You will likely be onboarded with a Memberrole initially. This allows you to safely review, audit, and verify content without the risk of accidentally altering global brand sources or deleting product listings in the Entityor Facts & Signalstabs.

Step 2: Navigate the Library

Once logged in, click Library in the left-hand navigation menu. Here, you will see a clean breakdown of your digital assets organized into:

  • Brands: The high-level umbrella identity.

  • Groups: The ā€œcategoriesā€, e.g. product/service lines

  • Products / Services: The individual items belonging to that brand.

Click on a specific product to open its workspace.

Step 3: Audit Your FAQs

By default, entering a product page brings you straight to the FAQs tab.

  • On the left sidebar, click through the different consumer Topics discovered by our AI.

  • The center panel will automatically filter to show the corresponding questions and answers generated for that topic.

Step 4: Verify and Refine Your Answers

Look for questions labeled with Strong Evidence. Read through the AI-generated answer.

  1. Check the phrasing to ensure it passes your internal legal, regulatory, and brand compliance standards. Make any necessary edits directly in the text field.

  2. Once the answer is compliant and accurate, click the Verify (or Verify Anyway) button on the bottom right of the FAQ card.

  3. The FAQ will move into your Verified queue, marking it as approved for publishing.

Step 5: Preview and Publish

Switch over to the Publish tab at the top of the screen.

  1. Review the live preview to inspect how your verified content displays.

  2. On the left settings panel, toggle which elements you want visible, for instance, you can choose to display the Unique Facts and other information pulled from your Entity tab alongside your FAQs, or display FAQs exclusively.

  3. Choose your integration mode (Standalone page or Embedded widget), ensure the Structured Data (Schema.org) toggle is switched on to maximize SEO search visibility, and copy the automatically generated HTML code to deploy to your website.

Note: You may directly integrate the Entity page via a Plugin, API, or other technical path. We would have spoken with your team about this in our onboarding. Reach out so we can help you finalise integration once you are happy with the content.
